Information Officer support for businesses

North Warwickshire Borough Council has appointed a consultant to undertake the role of Information Officer to support its work with businesses located in the market towns of Atherstone, Coleshill and Polesworth.

The aim of the role will be to ensure that businesses remain fully informed of their obligations in terms of operating safely during the pandemic.  This will include but not be limited to;

  • Ensure correct collection of track and trace requirements
  • Adapting to licensing changes due to Covid-19 regulations 

The Information Officer will also provide 1-2-1 support and advice that should be made available to all businesses on the High Streets. 

The main function of the role will be:

  • To actively engage with businesses in the three towns, on a regular basis, to ensure that they feel fully informed of current requirements and what they must be doing to conform to Government requirements.  It is considered that the most successful and efficient way of achieving this will be through direct face-to-face contact, which can, if necessary, be followed up by a telephone or email conversation.  It is expected that initially this will require the Information Officer to visit each town on a weekly basis until the businesses are fully updated and are familiar with the Officer.
  • To inform businesses of any opportunities and support packages from which they can benefit, through the production and delivery of a newsletter (every two months).  The newsletter should be designed to appeal to the reader, whilst remaining engaging and informative.  This will ensure that the businesses do not feel isolated, but part of a collective effort across the towns of North Warwickshire.
  • To utilise other appropriate channels of communication, including social media, to engage with the businesses to transmit key messages and opportunities. 
  • To serve as the main point of contact for businesses to direct queries and requests, and to be signposted to the most appropriate sources of support and advice.
  • To liaise with Borough Council Officers, including those within Environmental Health, Community Development and Communications, to formulate and disseminate consistent messages.

North Warwickshire Borough Council is the Data Controller for the purpose of collecting business contact information to provide advice and support to businesses during the COVID 19 pandemic.

The Council has appointed Des Gallagher as an Information Officer and he will be a data processor of the business information being collected.

The information to be collected will be provided by individual businesses and will include personal information and general business-related information.   

What we use your personal data for

The information collected will be used to ensure that businesses are informed of their obligations in terms of operating safely during the pandemic.  This will include but not be limited to;

  • Ensure correct collection of track and trace requirements
  • Adapting to licensing changes due to Covid-19 regulations
  • Requirements of the Coronavirus Restrictions regulations applying in the Council’s area 

The Information Officer will also provide 1-2-1 support and advice that should be made available to all businesses on the High Streets. 

We will not share this data with other organisations or individuals outside of North Warwickshire for any other purpose.

Our lawful basis for processing the personal data

We must have a legal basis to process your personal data. Our lawful basis for the processing that we’ll undertake in assessing what advice and support for businesses is required is based on a legal obligation.

Where we use personal information to confirm advice and support that a business requires, the sections of the law that apply are:

  • GDPR Article 6(1)(e) – processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller
  • GDPR Article 9(2)(i) – processing is necessary for reasons of public interest in the area of public health, such as protecting against serious cross-border threats to health or ensuring high standards of quality and safety of healthcare

We will only keep your personal data for as long as it is needed for the purposes of the COVID-19 emergency, and for audit and payment purposes.
