Our Privacy Statement is reviewed regularly to reflect changes in our services, feedback from service users and to comply with changes in the law. Any updates will be incorporated in this document.
North Warwickshire Borough Council is registered as a ‘data controller’ under the Data Protection Act (ICO registration Z5104292) as we collect and process personal information about you. This notice explains how we use and share your information.
Information may be collected on paper, via online forms and web chat, over the telephone, by email, CCTV or verbally by a member of staff or one of our partners.

Essential Information
The Council processes information which includes personal data about you; we collect this data to provide services effectively and in doing so recognise that data is important to you and that we have a responsibility to collect and use your information proportionately, correctly and safely.
Why do we collect information about you:
The Council collects, holds and uses personal data to enable us to provide services which include, amongst others, providing support and assistance to those in need and ensuring the environment we live in is maintained in a positive way.
The Council will comply with the legal requirements set out in the Data Protection Act 2018 in relation to the collection, holding and processing of your personal data. How we handle your personal data
In deciding what personal data to collect, hold and use the Council is committed to ensuring that it will:-
- Recognise that any personal data handled by the Council is held on behalf of an individual and ensure we respect that responsibility
- Adopt and maintain high standards in the handling and use of personal data
- Only collect, hold and use personal data where it’s necessary and relevant to the service required
- Securely delete any personal data when no longer required
- Keep your personal data secure and safe
- Consider and address the privacy risks when planning to use or hold personal information in new ways e.g. introduction of new systems
- Be open with individuals about how we use their information and who we give it to
- Make it easy for individuals to access and correct their personal information
- Ensure that there are effective safeguards and systems in place to make sure personal information is kept securely and does not fall into the wrong hands
- Provide training to staff who handle personal information and treat it as a disciplinary matter if they misuse or do not look after personal information properly
- Regularly check that we are maintaining our commitments and report on how we are achieving this
How we use your information

What we do with the information we collect
North Warwickshire Borough Council will use your personal data for a limited number of purposes and always within the rules set out in the Data Protection Act 2018. We will process personal data for the following purposes:
- For the reason you provided the information, for example, processing information given on a benefit claim form for the purpose of processing your benefit claim, and to monitor the councils performance in how we respond to your request
- To allow the Council to communicate and provide services that are appropriate to you, for example, so that we can arrange suitable access where someone has mobility difficulties
- To make sure the Council meets its legal obligations
- For the Council’s law enforcement functions, e.g. licensing, planning enforcement, food safety, etc., where we are legally obliged to undertake such processing
- To process financial transactions including grants, payments and benefits involving other government bodies, e.g. Department for Works and Pensions
- Where you have consented to the processing
- To protect individuals from harm or injury
- Where otherwise permitted under the Data Protection Act 1998, for example, prevention or detection of crime
North Warwickshire Borough Council will always try to make sure the personal data it holds about you is correct, however, there may be situations where the information it holds is no longer accurate. The Council will not use your personal data for third party marketing purposes and will not pass on any personal data to partner organisations unless you have given your specific consent to do so, other than to those who process information on the Council’s behalf or where there is a legal requirement. In this situation, we will make sure sufficient steps have been taken to protect your personal data by the organisation who we are working with.
Information Sharing
On occasion, we may need to pass your information on to other people and organisations that provide services. We have agreements in place to ensure that our partners keep your details securely and only use them to fulfil your requests. If we need to pass on your sensitive information to a third party we will only do so when we have obtained your explicit consent unless we have a legal obligation to do so. We may also disclose information to other parties when we have to comply with a legal obligation or where disclosure is necessary to prevent or detect crime or prevent the risk of harm to an individual.
We will not pass on your information to external organisations or partners for the purpose of marketing or sales or for any other commercial use.
